Human Resources & Staffing Coordinator

Full-Time Position
Position Summary
The Human Resources & Staffing Coordinator is responsible for overseeing the facility’s human resources functions while coordinating daily staffing for Certified Nursing Assistants (CNAs), Licensed Practical Nurses (LPNs), and Registered Nurses (RNs). This position plays a vital role in recruiting, onboarding, employee engagement, retention, scheduling support, and ensuring adequate staffing levels to provide quality resident care in accordance with federal, state, and facility regulations.
The ideal candidate is organized, detail-oriented, compassionate, and able to balance employee relations with operational staffing needs in a fast-paced skilled nursing environment.
Essential Duties & Responsibilities
Human Resources
- Coordinate recruitment efforts including posting positions, screening applicants, scheduling interviews, and facilitating hiring.
- Conduct new employee orientation and onboarding.
- Process employment paperwork and maintain confidential personnel files.
- Track employee licenses, certifications, CPR, TB testing, physicals, and required compliance documentation.
- Coordinate background checks, drug screenings, and employment verification.
- Monitor annual evaluations, performance reviews, and employee recognition programs.
- Assist department managers with corrective actions, coaching, and employee relations.
- Maintain compliance with federal and Utah employment laws.
- Coordinate employee benefits enrollment and communicate benefit information.
- Maintain accurate HR records using payroll and HR software.
- Assist with unemployment claims, workers’ compensation reporting, and leave administration.
- Promote employee engagement, retention initiatives, and positive workplace culture.
- Coordinate mandatory education and annual compliance training.
Staffing Coordination
- Prepare and maintain daily nursing schedules for CNAs, LPNs, and RNs.
- Ensure staffing meets resident acuity, state regulations, and facility budget guidelines.
- Fill open shifts by contacting available staff and agency personnel when necessary.
- Maintain staffing records and attendance reports.
- Monitor overtime and work with department managers to reduce unnecessary labor costs.
- Coordinate weekend, holiday, and emergency staffing coverage.
- Track call-offs, tardiness, and attendance patterns.
- Maintain staffing communication with nursing leadership.
- Assist with payroll preparation by verifying timecards, shift differentials, and staffing records.
- Support scheduling software and ensure schedule accuracy.
Compliance & Quality
- Compliance & Quality
Maintain confidentiality in accordance with HIPAA. - Support survey readiness by ensuring personnel files remain compliant.
- Assist with policy implementation and regulatory compliance.
- Participate in Quality Assurance and Performance Improvement (QAPI) initiatives.
- Promote a culture of professionalism, teamwork, and resident-centered care.
Qualifications
Education
- Associate’s degree preferred.
- Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or related field preferred.
Experience
- Minimum of 2 years of Human Resources experience preferred.
- Experience in healthcare, long-term care, rehabilitation, or skilled nursing strongly preferred.
- Experience with employee scheduling or staffing coordination preferred.
Knowledge & Skills
- Knowledge of Utah employment laws and HR best practices.
- Understanding of CMS and skilled nursing staffing requirements.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Experience with HRIS, payroll, and scheduling software preferred.
- Strong problem-solving and conflict resolution skills.
- Ability to work independently while collaborating effectively with department leaders.
Physical Requirements
- Ability to sit, stand, and walk throughout the workday.
- Ability to lift up to 25 pounds occasionally.
- Ability to use computers, telephones, printers, and other office equipment.
- May require occasional evening, weekend, holiday, or on-call availability to address staffing needs.
